Purpose

Brydan Woods Pty Ltd ACN 652 710 462 (We) commits to protect the privacy of our clients during the course of dealings.

This Policy based on the Australian Privacy Principles (APPs) in the Privacy Act explains to you how we collect, file, disclose and dispose of your personal information.

We are generally exempt from the Privacy Act when collecting and managing employee records ( including personal and health information).

Personal information definition

Personal information means the information provided by you from the beginning to the end of the matter; including your full name, contact details, resident status, marital status, financial information, and any related documents that are required to perform the works in the Consulting Agreement.

Information Collection and File

We may collect your information:

• in person
• via our websites;
• through Brydan Woods digital platforms or any other Brydan Woods’ client portal;
• over the telephone/ teleconference
• by written communication
• on hard copy/ soft copy form(s).

We only retain your information throughout the time of performing our services. All of your personal information will be discarded as of the date of completion stated in the Consultant Agreement. During the course of dealing, we will preserve your data within business admissible manners to prevent it from cybercrime and unsanctioned conduct.

Sharing your personal information

We may communicate your personal information with third parties, where required, to perform the works at your request, including:

• financial organizations;
• independent government agencies;
• relevant third parties/contractors concerning your matter;
• external legal presentative/institutions who we contract to assist us in providing legal services to you;
• our associated corporate bodies;
• credit reporting bodies and credit providers;
• data and information technology services;
• data backup/storage providers;
• printers/email systems;
• marketing and communications companies;
• delivery and shipping services (Australia post, paid couriers…)
• business advisers/contractors (i.e., accountants, lawyers, shopfitters, leasing executives).

Cookies

Cookies are text files, which are generated when you visit our website, similar to username and password, cookies are used to identify your computer as you use a computer network.

Only session cookies are used when you navigate on the Brydan Woods website. Cookies are stored in random access memory and are not written or saved to the hard drive.

Complaints

If you have a complaint about how your private information is managed, please contact us via the contact details listed below, we will in our best endeavor to address your concern and take all necessary steps to resolve the issue within 7 days.

If your complaint cannot be resolved within 7 days, we will ask you to complete the Privacy Complaint Form which sets out the details about the matter you are complaining about and how your privacy has allegedly been breached, and your desire outcome.

Complaint Process

We will attempt to acknowledge receipt of the Privacy Complaint Form within 7 business days and initiate the investigation about the matter. The investigation includes but is not limited to contact you and relevant people/ corporate bodies to clarify the fact, collect and review ancillary documentation.

In a normal course, we expect to have a response to you after the investigation within 30 days from the date of receipt of the Privacy Complaint Form. Should the process take longer than anticipated, we will advise you in writing.

If you are not satisfied with our solution, you can refer your complaint to the Office of the Australian Information Commissioner or in some cases, other regulatory bodies.
